Costed is the final status of a Job in iCFM. The process of Costing a Job is essentially confirming that all the details, Services, Actual hours, and costs of a Job are correct and final. It is important that all the details are checked carefully, as once a Job is costed, it is considered finalised and ready for Invoicing.
You can only cost a Job that has a status of Completed. A Job will be Completed either after the Artist enters their Actuals via the Artist Portal, or a Producer has entered the hours themselves. You can see all Completed Jobs on the Project Summary
You cannot Cost Jobs with 0 Actual hours, as this would mean that the Job didn't take place. Either there is either nothing to Cost, or a mistake has been made that needs correcting. To rectify this:
- Set the Job Status back to Confirmed (the Job will appear in the Artist Portal again)
- Either Cancel the Job or get the Artist to enter their hours correctly
- Follow the steps to Cost the Job
To Cost a Job:
- Click on the ID of the Job you want to Cost (the Job must have the status of Completed)
- Carefully review all the details of the Job & the Artists Actual hours
- In the Billing tab, review all Costs associated with the Job
- If any recently added Costs or Services are not showing, Click the Re-Cost the Job button (Optional)
- Set the Job status to Costed using the Coins icon next to the status bar
Please Note: As the Costed Job can now be allocated to an Invoice on the Project Billing tab, the details of a Job can no longer be amended.

- Dashboard > To Do List: Useful tool to save time, any Incomplete Jobs will be shown in the Report which allows you to view them in one place
- Actuals Collection Tool:
- This tool facilitates the quick Completion of Jobs. More information is available in our guide on the Actuals Collection Page.
- Automatic Costing on Job Completion: by applying the setting
/oncompletionstatuscosted
to your Job Types, Jobs will automatically progress to Costed upon Completion. With this setting on, the Actuals Collection Page will allow you to Cost groups of Jobs together whilst maintaining accuracy. Learn more here.

- This is a useful tool for clearing a backlog of Uncosted Jobs, but we definitely advise using one of the above, more accurate, costing methods for day to day Job management.
