Users are the accounts that allow your team to log into iCFM. Each individual logging into iCFM should have their own account, and accounts should not be shared, even if a device is.
Each User can be given access to, or restricted from, certain areas of the system or types of information, by Approving or Denying User Permissions, which can be configured individually or by User Group (Security Template).
You can add new User accounts to your site at any time, but they may be billable depending on the permissions they are given.
To add a new User:
- Main menu > Admin Options > User Information
- Press Search to view the User list
- Select Add in the top right corner (a new User page will open in a new tab)
- Enter the User details (Fields with bold captions are required)
- Check User Permissions - Assign to a User Group / Security Template (recommended) or amend Access Codes
- Click Save to create a new User Account
Please Note: Once you press Save, the new User will be sent an invitation email with their iCFM login instructions
User Information
Please find information below about some of the key fields on the User page:

| Full Name | The User’s full name | |
| Username | We recommend using the User’s email address as the username | |
| Initials | The User’s initials. These are displayed in the entity header bar to show who made recent changes, and are also used for quick reference in schedules and transactions | |

| Depot | The Depot the User is based at (configured in Depot Editor). This also sets the default schedule view for the User and determines which time zone they see information in | |
| Department | The Department the User belongs to (configured in Department Editor), e.g. Accounts, HR, Reception, Production. If the User raises a PO above their limit, the authorisation request email is sent to their Department head. | |
| Job Title | The User’s Job title | |
| Project Type | The Project Type selected here will automatically new Quotes, Projects, Jobs etc. created by this User | |
| Job Type | Sets the default Job Type for any Jobs created by the User | |
| Schedule View | Sets the default schedule view the User sees when opening the Schedule | |
| Landing Page | Sets the default page the User sees when they log in to either Dashboard, Admin Options, or Schedule. | |
| Display | Sets the default display option on the Schedule for this User (e.g. 1 Day, 1 Week, 2 Weeks). The User can still change this manually after login | |
| Transaction Print Type | Sets the default print layout for Accounts Transactions when the User prints them (e.g. No Detail, Summary, Full Detail, Category Groups, Department, Aggregate, Episode). The User can still select a different option when printing. | |
| Security Template (User Group) | List of your configured User Groups. These Templates approve or deny Users Permissions to access areas of the system. Basic templates are set but can be configured to suit your needs. | |
| P/O Limit | The maximum value Purchase Order that this User can create. If the Purchase Order Limits is exceeded, the department head will be emailed to Authorise the User’s PO | |
| Status | Active | User can log in and access the system |
| Deleted | User account is disabled and cannot log in, but can be reactivated at any time | |
| Locked | User account is automatically locked after a period of inactivity. The status can be changed back to Active or Deleted (Unlock a Locked User) | |
| Access Codes | Opens the Access Codes Editor to assign specific permissions to the User. Access Codes control which functions the User can access in the system | |
| New Password | Enter and confirm a password for the User. You must press Save for it to take effect. (The User will then receive their login instructions by email.) | |

| Checkboxes | Multi-User Account | Checking this box allows the User account to be logged in on multiple devices concurrently. Not recommended – use with caution. |
| Client Safe Schedule | Displays the main Schedule with limited information, (so Clients can see Jobs without displaying the Job details of other Clients) | |
| Fast Switching | Fast Switching for DMG Control Users allows Users to switch profiles by entering their initials when starting/stopping DMG instructions | |
| Default No Charge | When this User creates Misc Cost's and PO’s they will default to No Charge | |
| Group | Marks this User record as a Group / Security Template rather than an individual | |
| Enable 2FA | Enables 2 Factor Authentication on this User Account | |
| Billable | Indicates if the User Profile is Billable due to the User Permissions, i.e. Artists are not billable but Producers are (read only) | |
| Complimentary | Usually a Billable account which has been offered as Complimentary (read only) | |
