Create a Schedule View

Schedule Views define which Resources appear on the Schedule page by displaying only the People, Rooms or Equipment you need to see or manage. When you select a different View, the list of Resources on the left side of the Schedule updates, and the calendar refreshes to show only the related bookings and availability for those Resources. You can create and edit Schedule Views in the Schedule View Editor to set up different options for departments, services or locations, make Views available only to certain users based on access permissions, and create Milestone Views for project planning.


Accessing the Schedule View Editor

  1. Select Menu > Admin Options

  2. Open View Editor


Search Resources panel

Edit View Resources and Order panel

To Add a New Schedule View

  1. Click Create View in the right-hand panel

  2. Enter a name for the new Schedule View

  3. Select a Depot if required, or leave blank to make the View available to all Depots

  4. Click Save

  5. Add/edit/reorder Resources as required (see steps below)


Please Note: To add a Milestone View: follow the steps to add a new view, but include the word 'Milestone' in the title to designate it as a Milestone View. (Add Milestones within the Project > Milestones tab)



Add Resources to a Schedule View / Amend a Schedule View

  1. Select the View Name you want to edit in the Edit Resources panel

  2. (Optional) Enter search criteria to filter Resources in the Search Resources panel

  3. Click Refresh to update the list of Resources

  4. Click the green + icon beside a Resource to add it to the selected View

  5. (Optional) Add Dividers as required – enter a name and choose a colour if needed

  6. To remove a Resource or Divider, click the red X icon beside it in the Edit Resources panel

  7. Drag Resources or Dividers to change their order, or use the green Up and Down arrows

  8. To automatically order Resources, click Reorder Resources, choose your grouping and divider options, then click Apply Reordering



Rebuild all Schedule Views


The Rebuild All Views function automatically recreates Schedule Views based on each Resource’s Depot, Category and Sub-Category. It’s a quick way to rebuild the system defaults without manually creating or editing Views.


To rebuild all Views:

  1. In the Edit Resources panel, click Rebuild All Views

  2. Review the warning message carefully

  3. Click OK to confirm or Cancel to return (a message will confirm how many Views were rebuilt when it finishes)


Please Note: This process deletes all existing Views and replaces them with new ones using the system naming format (for example DEPOT – CATEGORY or DEPOT – SUBCATEGORY). Dividers are added automatically between categories and subcategories, and any Resources not currently assigned to a View are also included. Rebuilding is not continuous, but you can run it periodically to keep Views up to date.
